    Job Description


    Position: Assistant Event Coordinator Department: Corporate & Private Events

    Statement of Job:

    The primary responsibility of the Event Coordinator is to book and execute corporate and private events in collaboration with the Director of Sales & Events. Under the guidance of the Director of Sales & Events, the Event Coordinator must assist in all responsibilities to plan and execute catered events from event booking, planning and execution on the day of. The Event Coordinator must continuously provide ongoing communication with all personnel involved, including planning department and event day managers. In addition, the Event Planner must demonstrate the ability to multi-task and participate in weekly outing planning meetings, manage changes to event schedules, communicate with third-party vendors, and sufficiently perform other daily tasks necessary to ensure all Corporate & Private Events are successful. The Event Coordinator must be responsive to the needs of our guests in order to provide a superior level of customer service.

    Primary Private Event Responsibilities:

    • Answer and/or respond to Corporate & Private Event requests (as split with Director of Sales & Events) in a timely manner – includes any and all groups over 40 guests
    • Meet with potential walk-in groups and provide on-site tours of Kimball Farm to new and potential guests as requested
    • Provide adequate information relating to package pricing, additional entertainment, food options and encourage upgrades for improved sales performance
    • Maintain the event calendar for events scheduled and continuously ensure accuracy of details, making updates when changes occur and discussing with team as necessary
    • Fulfill tasks for ad-hoc projects or assignments as delegated by Director of Sales & Events
    • Maintain rapport with Day-of Event Manager, members of the Kimball Farm Crew, and all guests by making continuous contact during events; resolving immediate problem situations in collaboration with Event Manager
    • Provide on-site support during event as needed (Greeter, Griller, Server, etc.) or requested by team members and manage all special activities held in conjunction with events
    • Continually strive for improvement and demonstrate an ability to adapt to changing needs
    • Assist in answering phone calls and other office duties as part of the Farm Office team

    Qualifications:

    • Strong communication and interpersonal skills are a necessity
    • Ability to manage multiple event requests at once and demonstrate organization skills
    • Individual must be a self-starter, willing to take initiative and generate increased sales
    • Must be a team player and assist in other areas when requested
    • Proficiency with Microsoft applications and general computer skills
    • Prior event planning and marketing experience preferred, references required
